GAMERZ – Terms & Conditions

By paying your reservation fee and confirming your booking, you acknowledge that you have read and agree to these Terms & Conditions.

1. Booking & Payment

  • A $100 non-refundable reservation fee is required by the date stated on your invoice to secure your booking.

  • If the reservation fee is not received by the due date, GAMERZ reserves the right to cancel the booking without further notice.

  • The remaining balance is payable prior to your event as outlined on your invoice.

  • All prices are GST inclusive.

  • Once paid, your invoice acts as a Tax Invoice.

  • Any additional charges, including travel fees and tolls (where applicable), will be itemised on your invoice.

2. Changes, Cancellations & Rescheduling

  • Cancellation requests must be submitted in writing.

  • The $100 reservation fee is non-refundable.

  • A change of party date or start time is permitted, subject to availability, with a $25 re-booking fee, provided the request is made at least 10 days before your event.

  • There are no refunds due to rain, heat or other adverse weather conditions.

3. Arrival & Parking

  • Our team will arrive approximately 10–15 minutes before your scheduled start time to complete setup so your party / event can begin on time.

  • The GAMERZ trailer is approximately 13 metres long and requires 15 metres of clear access to manoeuvre safely into position.

  • Please ensure the parking area is clear and available before our arrival. If we are delayed because the area is not ready, your available gaming time may be reduced.

  • Our experienced drivers will determine the safest and most suitable location for the trailer.

  • Requests to position the trailer in a specific location (such as a driveway, backyard or other area) must be submitted in writing before the event and are subject to approval.

  • The Hirer accepts responsibility for any property damage that may occur where the trailer is positioned at the Hirer's specific request.

4. Power Requirements

  • We require access to two standard 240V power outlets upon arrival.

  • Power boards and double adaptors must not be used.

  • We supply all required extension leads.

  • Please leave the power connected until your Game Coach advises it is safe to disconnect.

5. Hirer's Responsibilities 

The person making the booking ("the Hirer") is responsible for all guests attending the event.

The Hirer agrees to:

  • ensure guests follow instructions given by the Game Coach;

  • ensure children / guests behave appropriately;

  • ensure no food, drinks, smoking, vaping, alcohol or illegal drugs are brought into or around the trailer;

Damage to Equipment

The Hirer is fully responsible for any loss, theft, damage or vandalism caused by themselves or any guest attending the event.

This includes, but is not limited to:

  • gaming consoles

  • televisions

  • controllers

  • seating

  • trailer fittings

  • electrical equipment

  • air conditioning

  • generators

  • exterior panels

  • signage

  • any other GAMERZ equipment or property.

The Hirer agrees to pay the full cost of repairing or replacing any damaged equipment where damage results from negligent, reckless, wilful or inappropriate behaviour.

Repair or replacement costs will be invoiced to the Hirer.

6. Safety & Supervision

  • Children under 5 years of age must be accompanied by an adult inside the trailer at all times at private events (parties)

  • For school, vacation care and other educational incursion bookings, the Hirer is responsible for providing adequate supervision at all times in accordance with the applicable NSW Department of Education staff-to-student ratio for supervision requirements. GAMERZ staff are present solely to operate and assist with the gaming experience and are not responsible for supervising children

  • For public events, festivals, community events and corporate activations, the Hirer must nominate a responsible contact person who is present and contactable for the duration of the event. This person must have the authority to make decisions and assist in resolving any operational, safety or behavioural issues that may arise. . 

  • Undesirable, offensive, aggressive or dangerous behaviour will not be tolerated.

  • GAMERZ reserves the right to refuse entry to, remove or terminate services for any individual whose behaviour places guests, staff or equipment at risk.

  • If  it is deemed necessary to terminate an event because of inappropriate behaviour, no refund will be provided.

7. Weather

  • The GAMERZ trailer is fully enclosed and designed to operate in most weather conditions.

  • Events will proceed during rain or other normal adverse weather conditions.

  • No refunds will be provided due to inclement weather.

  • GAMERZ reserves the right to postpone an event if conditions become unsafe due to severe weather.

8. Food & Drinks

No food or drinks are permitted inside the GAMERZ trailer at any time.

9. Health

Participants who suffer from epilepsy, sensitivity to flashing lights, motion sickness or other relevant medical conditions participate at their own risk.

Parents or guardians should advise GAMERZ of any relevant medical conditions before the event.

10. Photography

Photographs may be taken during private events for promotional purposes.

If you do not wish photographs to be taken or used, please notify GAMERZ in writing prior to your event.

For school, vacation care and educational incursion bookings, GAMERZ does not photograph or video children under any circumstances.

A photograph of the GAMERZ trailer and its setup at the venue or school may be taken for operational, insurance and record-keeping purposes only. These photographs will not intentionally include identifiable images of children, staff or participants.

11. Liability

GAMERZ takes every reasonable precaution to provide a safe and enjoyable experience.

To the extent permitted by law:

  • participation is at the participant's own risk;

  • GAMERZ is not responsible for injury, loss or damage occurring on the customer's property except where required under Australian Consumer Law;

  • the Hirer accepts responsibility for all guests attending the event;

  • the Hirer indemnifies GAMERZ against claims arising from the actions of the Hirer or their guests.

12. Privacy

Personal information collected during the booking process is used solely for booking administration and will not be sold or disclosed except where required by law.

13. Agreement

By paying the reservation fee, the Hirer confirms they have read, understood and accepted these Terms & Conditions.
